How is information organized in Project Portal?

Every organization contains its own clients, and every client can contain one or more projects. This hierarchy keeps project records, access, updates, and reporting attached to the right business context.

Can a client have more than one active project?

Yes. A client can have multiple projects, each with its own progress indicator, status, documentation, timeline, and approved updates. That gives leadership a portfolio-level view while preserving project-level detail.

Access & privacy

Can one organization see another organization’s information?

No. Tenant isolation keeps each organization’s clients, projects, documents, questions, and activity separate. Access is granted within an organization and never carries across to another tenant.

How do administrators grant access to a group?

Authorized administrators can paste a list of email addresses or upload a CSV, review the recipients and their intended access, and then issue invitations in bulk. Access remains tied to the appropriate organization, client, or project.

How do subscriptions and trials work?

Every recurring plan starts with a seven-day trial. Community includes 2 portals and 10 projects. Portfolio includes 10 portals and 40 projects. Platform is unlimited and includes Full Service.

What if I need one more client portal or a few more projects?

Add an Extra Portal Pack for $75/month. It includes one portal and five projects. Add five projects to an existing portal for $25/month. Packs are month to month.

Approvals

When can owners or board members see an update?

Only after an authorized organization administrator explicitly approves and publishes it. Drafts, imported material, and working notes remain private until that approval. Owners and boards stay informed without being pulled into construction management.

AI & sources

What information can the AI assistant use?

The assistant answers only from approved sources available to the person asking. If the approved record does not support an answer, the assistant says so and logs the unanswered question for follow-up instead of inventing a response.

Integrations

Does importing from Procore publish information automatically?

No. Procore is a staged source: imported material arrives as draft content for review and context. It does not become owner- or board-visible until an authorized organization administrator approves and publishes it.
